Approve and post bookings
Understand approval inside Didyma and the separate action that posts to an accounting system.
Last verified:
Approving a booking happens within Didyma. It does not post that booking to Abacus, Bexio, or any other accounting system. Approval can affect the working figures and closing calculations in Didyma, so reconcile those figures with the ledger before completing the engagement.
Understand booking status
| Stage | Meaning | What to verify |
|---|---|---|
| Suggested or draft | A proposed adjustment requiring review. | Evidence, date, debit/credit accounts, amount, currency, and tax treatment. |
| Approved | Accepted within Didyma for the closing work. | Its effect on Didyma’s working figures; the source ledger has not been updated by approval. |
| Posted | A separate posting operation has been performed. | The result and corresponding entry in the intended accounting system. |
Do not use approval, report generation, or a passing checklist as evidence that an external posting succeeded.
Review and approve
Open the booking in its check. Compare the proposal with the supporting evidence and reporting period. Correct the debit and credit accounts, amount, date, description, and required posting details before approving it. Review related reversal entries when applicable.
For example, approving an accrual in Didyma accepts that adjustment for the working close. The accountant must still arrange the corresponding ledger entry through the separate posting workflow or the accounting system.
Post separately
- Confirm the client is linked to the intended accounting entity and mandant.
- Check that posting is enabled and the connection is not Read-only.
- Use the booking’s Post action and review the destination and required information.
- Inspect the result and reconcile the entry in the accounting system.
If both Abacus and Bexio are linked, take particular care to select the intended posting destination. Ask your administrator to resolve permissions; do not enable posting merely to dismiss an error.
Failures, corrections, and reversals
After an uncertain or failed posting, inspect the result and source ledger before retrying to avoid a duplicate. Removing approval in Didyma is not a reversal of an entry already posted externally. Correct posted entries through the appropriate reversal or correction process and reconcile Didyma afterward.
After posting or reimporting corrected ledger data, review the affected balances and report for missing or duplicate adjustments. Preserve the booking evidence in the engagement file.
